Exterior operations consolidated under one accountable program, replacing per-site, per-season vendor management with a single agreement and a single point of contact.

Client

GFL Environmental is a major environmental services organization with commercial properties that require consistent, professional exterior maintenance year-round. Sites must stay presentable through the growing season and safe and accessible through winter.

The challenge

Exterior services across multiple commercial properties usually mean a separate landscaping contractor and a separate snow contractor at every site. That produces different vendors, different standards, and fresh coordination work every time the season turns.

What success needed to look like

  • Consistent exterior standards across commercial properties
  • A defined maintenance schedule that does not disrupt site operations
  • Winter response that starts automatically, without someone having to call
  • Documentation of service events for accountability and liability records

What we implemented

Seasonal grounds and landscaping program

A full-season program covering lawn and turf areas, flower and shrub beds, walkways, driveways, and hard surfaces.

Season start-up

  • Full initial clean-up: debris, leaves, branches, and litter removed across all serviced areas
  • Curbs, walkways, and hard surfaces swept and blown clean
  • Dead or damaged plant material removed, with beds cultivated and edged

Scheduled maintenance

  • Recurring visits scheduled around site operations
  • Lawn areas cut to a defined turf-height standard, with clippings cleared from hard surfaces every visit
  • Trimming and line-edging of turf perimeters, fence lines, posts, and curbs with each cut
  • Hedge and shrub trimming, pruning, and ongoing presentation care
  • Turf health and fertilization program as seasonally appropriate

Fall close-out

  • Leaf and debris removal across lawns, beds, and hard surfaces
  • End-of-season cuts, bed cultivation and edging, and a final hard-surface clean

Winter snow and ice program

When the growing season ends, the same properties transition to a snow and ice management program without a change of vendor.

Automatic storm response

  • Plowing commences without a call at a defined accumulation trigger, any day including weekends and holidays
  • Roadways and parking areas passable by defined morning and evening deadlines
  • Clean-up completed within a defined window after each snowfall

Walkways and de-icing

  • Dedicated crews clear walkways after each snowfall
  • Treated-salt applications for light accumulations and freezing rain, applied with professional discretion and active weather monitoring
  • Every salting application documented and reported

Site planning

  • Snow piling locations planned and approved with the site contact
  • Safety clearances respected, including fire hydrant access
  • Weather records referenced against Environment Canada data

Reporting and visibility

  • Grounds: service completion per visit, with scope defined in the agreement
  • Winter: per-event service records and documented salting applications, invoiced transparently

Results

  • One accountable partner across commercial properties and both exterior service seasons
  • Scheduled grounds maintenance with defined turf and presentation standards
  • Winter response that dispatches automatically at defined accumulation triggers, with no call required
  • Documented service activity, including per-application salting records

Why this worked

  • One agreement structure covering the full exterior service year
  • Defined standards for turf height, readiness deadlines, and clean-up windows, instead of vague promises
  • Automatic winter dispatch removes the need for anyone to make a call during a storm
  • Documented service events create the accountability record commercial properties need

Next step

If you manage commercial properties that need grounds, winter, or both, we can consolidate them into one program with one standard and clear documentation.
